Custom software earns its cost when an off-the-shelf product would need so much configuration and workaround that you're building anyway, or when the manual work it replaces costs more staff hours than the build costs in dollars. When a $50-a-month tool would solve your problem, we say so and point you at it. We scope to a defined budget rather than open-ended hours, so the number you approve is the number.

Your team does, and that shapes what we build rather than getting handled at the end. We favor boring, well-supported technology over anything clever, write documentation for the staff member who inherits it rather than for a developer, and train your people before handoff. Where ongoing technical work is unavoidable, we say so upfront and scope support for it.

Usually, and our default assumption is that you keep it. We've worked with Salesforce Nonprofit Cloud and NPSP, NationBuilder, Mailchimp, and the spreadsheets alongside them. Most of our data work is integration and migration, not replacement. Replacing a CRM is expensive and disruptive, so we only recommend it when the current one is blocking the mission.

As a design constraint from the first architecture conversation: collect the minimum necessary, restrict access by role, set retention and deletion rules deliberately, encrypt sensitive fields. For organizations serving immigrants, patients, survivors, or minors, we also design around what a subpoena or a breach would expose. If your funders or board require specific compliance commitments, bring them to scoping and they become requirements.

Yes, and the history is the hard part, not the new system. Real migrations involve duplicate people, inconsistent names, records that contradict each other, and fields that meant different things in different years. We validate at every step and report the success rate honestly instead of declaring victory at go-live. For SIREN we moved 17,500+ records out of NationBuilder and Mailchimp at a 98.6% validated success rate, and reviewed the rest rather than dropping them.

A freelancer is often excellent and often a single point of failure, with no continuity if they take a full-time job mid-project. A large agency sells you a senior team and staffs a junior one, then charges for the coordination that requires. We're small and senior: the person you talk to is the person who builds it. The honest tradeoff is that we take fewer engagements at once.

We aim to put a working prototype in front of real users within weeks, rather than hand you a document at the end of discovery. Full engagements vary; SIREN's data consolidation ran about four months including discovery, CRM configuration, the migration, integrations, and training. We'd rather give you a real range after one scoping call than a confident number before we've seen your systems.

No. Most of our nonprofit work is with small and mid-sized organizations where a handful of people carry the whole operation, which is what our model is built for. Size matters less than whether there's a real problem and someone who can make decisions about it.
